1. Purpose and Scope

The purpose of this procedure is to define the process for controlling all documents and records related to the United Safety and Quality Council (USQC) activities under ISO 17021, 17024, 17025, and 17065.


2. Document Control

Creation and Approval: All new documents must be created using the USQC standard template and approved by the Quality Manager or Management Board. Revision Control: Documents are assigned a revision letter (e.g., Rev E) and an effective date. Distribution: Controlled documents are distributed to relevant personnel and made available at the point of use. Obsolete Documents: Obsolete documents are removed from use and archived for reference. External Documents: External documents (e.g., ISO standards, regulatory requirements) are identified and controlled.


3. Record Control

Identification: Records are identified by their title, date, and document ID. Storage: Records are stored securely in digital or physical format to prevent damage or loss. Protection: Access to records is restricted to authorized personnel. Retention: Records are retained for a minimum of five (5) years or as required by accreditation bodies. Disposition: Records are disposed of securely at the end of their retention period.


4. ESG and Governance

USQC is committed to robust document and record control as part of its Environmental, Social, and Governance (ESG) framework. We believe that maintaining accurate and accessible records is a key governance responsibility that ensures transparency, accountability, and compliance.


5. Document Branding

All USQC documents must include the USQC Logo in the header and the Document ID, Revision, and Page Number in the footer. This ensures consistent branding and document control across the Integrated Management System.
